Kelt came to Teatrx to address challenges with their meeting rooms, including underused spaces, user training, improper booking, and outdated, unreliable technology. Our team partnered with Kelt to tackle these issues through auditing, designing, integrating, and co-managing their meeting spaces.

Project Goals
Goal #1: Introduce new technology to three main meeting spaces in the Kelt office
Goal #2: Have the user experience to be the same in each meeting space
Goal #3: Provide a easy way for users to access their work in the meeting spaces, but also create a simple process for users to leave the meeting space and be confident their work has saved and been securely closed
Goal #4: Not flood Kelt’s existing network with the new A/V equipment.

Use Cases in Each Meeting Space
USB-C Laptop Connection
Connecting personal devices to the Meeting Spaces is crucial for Kelt, as many vendors present using their laptops. The USB-C laptop connection offers video, audio, and 100 watt power through one cable, giving users an easy way to connect to the room.
Wireless Laptop Connection
Offering wireless presentation is a great alternative for those who prefer using their personal laptops during meetings. To connect wirelessly, simply use the Windows + K shortcut and choose the appropriate meeting space from the options.

Custom Control Panels
To simplify meeting room management, our team used Kramer Control to create a custom interface for the iPad Mini 7, serving as a universal remote for all functions. This eliminates the clutter of multiple remotes, allowing users to focus on one device for seamless meeting management.

Mago Room Pro
Mago Room Pro is a collaboration tool we've set up on each meeting room's local PC. Operating in Kiosk Mode, it serves as the main dashboard, standardizing the functionality of every room. This software supports multi-platform video conferencing, offers custom app selection, and includes whiteboarding capabilities, making each meeting space easy and efficient to use.
QR Codes for Guest WIFI
Our team installed signs with scannable QR Codes in each meeting area, enabling Kelt guests to connect to the guest WIFI automatically. This ensures vendors can access the internet seamlessly for their presentations, saving time and enhancing convenience.
Live Training Documents
Our team developed training materials for the Kelt staff and placed QR codes in the rooms to guide users to this information. These documents are live, allowing us to update them for new scenarios without changing the room signage. This approach ensures that the Kelt teams have access to relevant and up-to-date information.

Custom App Selection
Our team integrated a custom application selection within the Mago Pro dashboard. When users access an app, it opens in incognito mode, ensuring no information is cached. This setup automatically logs users out once they close their window, greeting the next user with a login screen. Now, the Kelt team can confidently end meetings, knowing their work is securely saved in the cloud.

Booking the Rooms
The Humly Booking Panel and Devices not only provide a visual display of a room's status but also streamline the room booking process. Humly integrates seamlessly with Outlook and Microsoft Teams, ensuring a smooth booking experience. The visual aid of the panels now remind users to ensure they have booked the room.
Installation Summary

Executive Boardroom
The executive boardroom stands out as the highlight of the Kelt Calgary office. As the largest meeting space within the project, it also features the most expansive boardroom table. These key elements influenced our selection of technology for the room, ensuring that video conferencing effectively captured the entire space. This way, every attendee could both hear and be heard, as well as see and be seen. Below is a detailed overview of the technology we incorporated into this area:

PTZ Optics 12x Zoom Camera: We mounted this camera beneath the displays, directly on the FSR cable track, ensuring it is centered above the boardroom table. It successfully captures every seat at the table, and its quality consistently leaves a positive impression on users at the other end.

Bose Ceiling Speakers: We strategically positioned four speakers around the meeting area to guarantee optimal sound quality throughout the entire space.

Shure MXA710 Ceiling Microphone: To maintain a tidy boardroom table, we opted for a 2-foot ceiling microphone positioned directly above the center of the table. This setup ensures that everyone can be heard clearly throughout the meeting space without the need to raise their voices.

Shure LED Mute Button: This device enables users to easily mute and unmute themselves. Additionally, it features an LED ring light that indicates the current status of the microphone.

Custom Kramer Table Cubby: We incorporated new table cubbies featuring pass-through sections for USB-C cables, enabling both power and connectivity to the room's A/V system.

iPad with Heckler Mount: This was installed onto the boardroom table, providing full room control for the users.

Room PC: A Lenovo room PC was installed beneath the boardroom table. We strategically placed the PC for easy access while ensuring it remains discreet, allowing the IT team to reach it without the need to crawl under the table.

Mago Pro: This collaboration software has been installed on the Room PC, serving as the primary dashboard for the meeting space. We have incorporated a tailored app selection for users to easily access, and it also facilitates quick and seamless video conference launches.

Humly Room Booking Panel: This stunning feature enhances the entrance to the Executive Boardroom. The LED ring light effectively indicates whether the room is currently occupied or available. Additionally, you can book the room directly from the panel, Outlook or Microsoft Teams.
West Boardroom
The West Boardroom was approximately the same size as Meeting Room A, yet it served slightly different purposes. While the technology was comparable to that of Meeting Room A, we made sure the Kelt Team was trained to utilize it in a way that catered to the specific needs of this space. Below is an overview of the technology incorporated into this room:

Bose VB1 Video Conferencing Soundbar: Since this room was smaller, we successfully integrated the versatile VB1 device, which offers sound, a camera, and a microphone for the meeting space.

Dual Displays: We successfully incorporated the room's existing displays into the new A/V system. Since the displays were in excellent condition, this decision helped the client save money.

Humly Room Booking Device: The Humly Booking Device offers the same features as the Executive Boardroom Booking Panel, but it's more compact and budget-friendly.

Meeting Room A
Meeting Room A was an underutilized space before our installation. Our objective was to transform it into a versatile meeting room for internal collaboration, vendor presentations, and video conferencing. We successfully achieved these purposes and more. Below is an overview of the technology integrated into this space:

Sharp 75" Touch Display: This stunning display offers 4K resolution and features an exceptionally smooth touch interface, perfect for use with the Mago Whiteboarding feature.

Separate Independent AV Network
At this scale, custom audio/visual integrations need a separate network to prevent disruptions to the daily operations network. Our team set up a dedicated network for this project, ensuring all devices communicated seamlessly and securely. Here's a detailed look at the technology we used in this network:

Wall Mounted Cabinet: We opted for a 15U wall-mounted cabinet with removable panels to house our infrastructure equipment. This setup kept the hardware unobtrusive during daily operations and enabled our team to achieve excellent cable management.

Cisco Meraki MX75 Firewall: The Cisco Meraki MX75 Firewall provided robust, centralized security and seamless network management, ensuring reliable connectivity and protection for all AV components throughout our project.

Cisco Meraki MS130-24 Port Switch: The Cisco Meraki MS130-24 Port Switch delivered reliable, high-speed connectivity and simplified network management, enabling efficient integration and performance of all AV devices in our project.

Cisco Meraki MR 28 Wireless Access Point: The Cisco Meraki MR28 Wireless Access Point provided strong, consistent wireless coverage and easy cloud-based management, ensuring seamless connectivity for all wireless AV components in our project.

Cisco Meraki Temperature and Humidity Sensor: This sensor enables real-time environmental monitoring, helping to protect sensitive AV equipment and maintain optimal operating conditions.

Cisco Meraki MT40 Power Controller: This sensor provides remote power management and automation, allowing our team to reboot key devices remotely if needed.

Bose PowerShare Amplifier: This device delivers flexible, high-quality audio amplification, allowing us to efficiently distribute sound across the executive boardroom.

Bose ControlSpace DSP: Provides precise audio signal processing and flexible system control, ensuring optimal sound quality and seamless integration across all AV components in our project.

Kramer Brainware 5: This device is aptly named, serving as the brain of the system for custom control in each meeting space.

Uninterrupted Power Supply (UPS): To prevent power interruptions, a UPS was integrated into the network, ensuring essential AV and network components remain operational during outages, thus protecting equipment from unexpected shutdowns.
